Workflow views have many uses and are a valuable part of the workflow system for monitoring and auditing workflows. There are a number of different ways sites use workflow views. These are some examples of the most common uses for workflow views.
Workflow views are commonly used to monitor workflow intrays. A senior Doctor may need to monitor the workflow intray of a junior Doctor, or the Practice Manager may need to access a Doctor's intray to distribute workflows for actioning in their absence.
The ideal configuration for such a workflow view is as follows.
The Description accurately describes the purpose of the view - to view Dr Green's intray.
Available To restricts the access to the view to yourself only, preventing unauthorised users from accessing the Doctor's intray.
A Doctor has used "No Action Required" on a workflow that did require an action. The Doctor cannot remember the patient's details, but you need to identify the document so it can be sent back to the Doctor to be actioned correctly.
The Description accurately describes the purpose of the view - to view workflows sent to Dr Green's intray.
Available To restricts the access to the view to yourself only, preventing unauthorised users from accessing the Doctor's workflows.
Setting Status to Complete means that no active workflows will show up - it is likely that the workflow is complete as there were no actions assigned. If the lost workflow doesn't appear, you could make this option blank to see whether it is still active with another user.
Date Added narrows the date of the workflow creation down. If the Doctor does not remember the date range of the workflow, try a time span of one week and increase it by a week until the workflow appears.
Sent To Dr Felicity Green configures the view to display all workflows that mention Dr Green in the audit trail. With a Selected User only shows the workflows currently with the specified user, but Sent To displays all workflows that are sent to Dr Green regardless of whether they are currently in her intray.
Setting Actioned to No Actions narrows the results down further, omitting any workflows that have actions assigned.
