Docman Vault

Docman 75500.1 includes Docman Vault functionality.

Docman Vault provides users with the ability to share patient documents and information with patients, third parties and providers. The Docman Vault concept is based around an NHS patient centric document cloud store, hosted on a secure N3 environment with strict security and access control.

Vault and Filing

Documents are passed to Docman Vault after filing. Additional data is also passed to the Vault for each document, which consists of a globally unique identifier (GUID), the NHS or CHI number of the patient, the document event date, type, care setting and description, and the document workflow status. A local patient identifier is also included in the data.

When a document is saved to Vault, the document audit is updated to reflect this.

Please Note: Documents that exceed a total file size of 5mb, or contain a page that exceeds a size of 120kb, will not be uploaded to Docman Vault. A warning message appears during filing to warn the user of this.

Vault and Document Revisions

Revised versions of documents are also stored on the Vault. This includes versions of documents modified with highlights, stamps, redactions and erased content. Documents that are checked out of Docman for editing are also updated on the Vault, when the document is checked back into Docman

When a revised version of a document is saved to Vault, the document audit is updated to reflect this.

Vault and Document Deletions

When a document is deleted from the patient record in Docman, the corresponding Vault document is also deleted.

The deletion reason is recorded on the Vault as well as the local Docman system.
