Introduction

This document details changes and fixes in Docman version 8.0.1.

Changes

Workflow - Free Text Comment - Text Wrapping

When adding a free text comment to a workflow, the text in the Add Free Text Comment prompt now wraps onto an extra line instead of concatenating. This allows the entire comment to be seen.

Workflow - Page Drop-Down Menu

A page selection drop-down menu has been added to the Workflow document preview, similar to the drop-down in Batch Manager and Document Viewer. This allows users to skip to specific pages of a large multi-page document without having to go through the preceding pages.

Workflow - Optimisation 

The workflow module has been refined and optimised to improve loading speed on sites with large numbers of workflows.

Workflow - Sequential Workflow - Reroute

If a user entered the Reroute window of a sequential workflow and attempted to use Move to Next User with no next user specified, Docman would generate an error message with the description "Route has no next route available". This has been changed to provide a clearer description to the user.

Workflow - Quick Filter - iWorkflow Actions

The Quick Filter displayed the option to filter by iWorkflow Action, even if iWorkflow was not activated on a site. This has been changed so that iWorkflow action filtering only appears as an option for sites with iWorkflow activated.

Workflow/Maintain Lists - Workflow Groups - Merge Users

When adding users into an existing Workflow Group, Docman prompts to confirm whether the new user should be added to the group's existing workflows. This message has been altered to inform users that this process may take several minutes, depending on the number of workflows in the system.

Workflow - Recipient Groups - Merge Workflows

If new users are added to a Workflow Recipient Group then deleted before the changes are saved, Docman no longer prompts to merge existing workflows. This is because the user list has been reverted to its original state, with no new users to merge workflows with.

Workflow - Priority - Custom Priority Labels

If custom priority labels have been configured, these are now displayed in the Workflow Route and Document History.

Fixes

Workflow - Broadcast - Duplicated Users

An issue was identified which allowed users to be added into the route for Broadcast workflows multiple times. Users do not need to be added multiple times, as the Broadcast workflow type goes to all users at once. This is now fixed, and Docman displays a warning message if a user is selected twice as a recipient of a Broadcast workflow.

Drop a Doc - Default Workflow Type

An issue was identified when filing and workflowing a document using Drop a Document. The workflow creation screen would always default to the iWorkflow workflow type, regardless of what the last selected default was. This is now fixed.

Workflow - Quick Steps - Comments

An issue was identified with comments included in quick steps. This is now fixed, and comments added using quick steps are now automatically saved.

Maintain Lists - Comments - Duplicate Descriptions

An issue was identified with the Comments list in Maintain Lists. This allowed duplicate workflow comments to be added. This has been fixed to notify the user when attempting to add a duplicate comment.

Workflow - Route Before Completion - Group Names

An issue was identified when setting up a Workflow Template to route a workflow to a group before completion. When the Workflow Template was selected during the workflow process, the Route Before Completion option displayed a number instead of the group name. This is now fixed.

Workflow - Workflow Batches - Category and Due Date

An issue was identified when processing a workflow batch. The workflow due date and category were not saved. This affected categories and due dates added manually or by template. This is now fixed.

Workflow - Priority - Priority Labels

An issue was identified with custom priority labels. The Document History in Document Viewer would still show the default Low/Normal/High priority labels. This is now fixed, and custom priority labels show in all parts of the system if assigned.

Workflow - Workflow Batches

An issue was identified during filing with the Workflow Batch function which may have impacted the processing of the workflow. This issue has now been fixed.

Privacy Officer - Batch Deletion Notification

An issue was identified with the Privacy Officer batch deletion notifications. If a site had multiple Privacy Officers, the text in the notification would be duplicated. This is now fixed.

Batch Manager - Batch Rename

An issue was identified with the batch naming function in Batch Manager. When a batch was scanned and the user prompted for the batch name, the batch would still be saved with a generic name. This is now fixed, and user-specified batch names are saved and displayed correctly.

Document Viewer - Screen Positioning Options

An issue was identified in Document Viewer with the screen positioning options. This is now fixed; the user-specified screen location is now automatically saved, and the Save Screen Position option has been replaced with the Restore Size & Position and Centre to Screen options. These options can be found by right-clicking the title bar of the Document Viewer window.

Workflow Templates - Sequential/Broadcast Templates

An issue was identified when a Sequential or Broadcast type workflow template was selected at the end of the filing process. Subsequent created workflows would prompt for a user instead of a workflow template. This has been fixed, and the Workflow Template Selection appears consistently.

Workflow - Document Preview - Mouse Scroll

An issue was identified with mouse scrolling in the Workflow window. This is now fixed.
